The Custom Links feature in Zoho CRM lets you instantly access external details such as company news or contact information directly from a lead or contact record. That means less time switching tabs and more time focusing on the conversation. This guide will walk you through setting up custom links, enabling you to work faster, stay focused, and pitch with confidence.

Custom Links in Action

Custom Links allow you to connect your Zoho CRM records with third-party websites or applications to quickly retrieve external information. This advanced feature makes it easy to access relevant content outside of your CRM without ever leaving the record page.

Here are a few practical ways to use Custom Links:

  • Open a contact’s X profile: Add a field in your contact records for their X (formerly Twitter) handle. With a custom link set up, you can go directly to a contact’s profile on X with just one click. Example link format: https://x.com/$
  • View locations using external map services: While Zoho CRM includes a built-in Google Maps option, you can create a custom link to open the contact’s address in another map application of your choice.

These use cases show how Custom Links can enhance your CRM experience by keeping essential external tools just one click away.

Note:

  • Only administrators and users who have the Customize Zoho CRM permission can create and configure custom links, including setting who has access to them.
  • Access to these links depends on user permissions. If a user doesn’t have the appropriate access rights, the link will not be available to them. These permissions are controlled during the setup process by those with customization privileges.

How to Add Custom Links in Zoho CRM

Follow these steps to create a custom link within a module:

1) Go to Setup and select Customization > Modules and Fields.

2) From the list of modules, choose the one where you want to add the custom link.

3) Click on the Links tab.

4) Then select Create New Link.

5) On the link creation page, fill out the following details:

Link Name: Enter a name for the link (up to 50 characters).

Description: Provide a brief explanation of the link’s purpose (up to 250 characters).

URL: Enter the web address that the link should open. To make the URL dynamic, type the # symbol and select a field from the drop-down menu.

Link Encoding: This will vary depending on the region.

Permissions: Under the access settings, choose which user profiles can view and use the link. Only users with the Customize Zoho CRM permission can define these access rules.

Click Save. The link will be available in the tabs for the selected module.

How to Delete Custom Links in Zoho CRM

Custom links can be removed at any time, but only users with the Customize Zoho CRM permission are allowed to delete them.

To delete a custom link:

1) Navigate to Setup > Customization > Modules and Fields.

2) From the list of modules, select the one that contains the link you want to remove. The existing links for that module will appear under the Links tab.

3) Click the three-dot menu next to the link you wish to delete, then select Delete. Confirm your choice when prompted.

Once deleted, the link will no longer appear in the module and will be inaccessible to users.
