Did you know that Zoho Inventory’s Reporting Tags offer a complete system to label, analyze, and manage your business data, allowing you to track performance and refine strategies with precision?

Categorizing and analyzing your business data effectively is key to making informed decisions. With Reporting Tags in Zoho Inventory, you can label and segment entities like customers, vendors, items, and transactions for clearer, more insightful reports. You can create custom tags, associate them with transactions, filter reports for deeper insights, and remove tags as needed—all in just a few steps. This helps you track performance across different categories and refine your strategies with precision. In this guide, we’ll walk you through how to use Reporting Tags to enhance your reporting, giving you a smarter way to manage your inventory and business operations.

Step-by-Step Instructions:

Scenario: Alex owns a chain of fitness gear stores across multiple states, specializing in high-quality hand gloves for weightlifting and training. He wants to track sales performance at each location to determine which gloves are most popular in different regions. To do this, he creates Reporting Tags for each state and assigns them to sales transactions. At the end of the month, he filters his reports using these tags to analyze sales trends, helping him optimize inventory and marketing strategies for each store.

Create Tags

You have the flexibility to create Reporting Tags with multiple options tailored to your specific needs. To set up a reporting tag:

1. Navigate to Settings and select Reporting Tags under Customization.
2. Click + New Tag in the upper right corner to begin.

3. Input the tag name and define the options as needed.
4. To add more options, click + Add Another Option, or to remove an option, click the trash icon.
5. Click Save to finalize the reporting tag.

Note: You can create a maximum of 10 Reporting Tags.

Associate Tags

Once you’ve created your Reporting Tags, you can apply them to entities like items, contacts, and transactions for better organization and analysis.

To tag an item:

1. Navigate to the Items module and either create a new item or edit an existing one.
2. Scroll down and click Associate Tags.
3. Select the relevant tags and click Save to apply them.

To tag a contact:

1. Go to the Contacts page and either create a new contact or edit an existing one.
2. Scroll down and click the Reporting Tags tab.
3. Select the necessary tags and click Save to apply them

To tag a transaction:

1. Create a new sales or purchase transaction.
2. Enter the necessary details, then click the three horizontal dots (…) next to the item table.
3. Select Add Additional Information and assign the relevant Reporting Tags in the pop-up window.
4. Click Save to apply the tags.

Filter Reports with Tags

You can filter reports based on the Reporting Tags linked to items and transactions. In Zoho Inventory, this feature is available for the Sales by Item report. Follow these steps to apply filters:

1. Open a new invoice, assign tags to each item, and mark the invoice as Sent.
2. Navigate to the Reports module from the left sidebar and open the Sales by Item report.
3. Click Customize Report at the top.
4. Under General > Advanced Filters, click + Add Filter.
5. Choose a Reporting Tag and set the desired criteria.
6. Select the specific options you want to filter the report by.

7. Click Run Report to generate insights based on your selected tags.

Delete or Deactivate a Reporting Tag

If a Reporting Tag is no longer needed, you can either delete it or mark it as inactive. However, tags that are already in use cannot be deleted. Follow these steps to manage your tags:

1. Navigate to Settings > Reporting Tags.

2. Hover over the tag you want to modify.

  • Click Mark as Inactive to disable it.
  • Click the Trash Can icon to delete it.

3. To adjust an existing tag, you can also edit it and remove any unwanted options by unchecking or deleting them.
